How to Upload Documents in Sumext

Maximum file size: 10MB per file. Maximum files per upload: 20 files. Multi-page PDFs are fully supported.
Method 1: Drag and Drop
- Go to Costs → Upload.
- Drag any file from your desktop and drop it onto the upload zone.
- Upload begins immediately.
- Progress bar shows per file.
- Green tick appears when done.
Method 2: Browse and Select
- Go to Costs → Upload.
- Click Browse files inside the upload zone.
- Select one or multiple files.
- Click Open.
- Files upload automatically.
Method 3: Email (Team + Firm)
Forward any invoice to your unique inbox address, no upload needed. See the Email Ingestion guide for setup instructions.
Method 4: Mobile Photo Upload
- Open app.sumext.com on your phone.
- Go to Costs → Upload.
- Tap the upload zone.
- Select Camera or Files.
Works best with good lighting. Ensure the full invoice is visible and flat.
After Uploading
Files move to Costs → Review. You will see extraction status, vendor name, amount, and confidence level. Open any document to confirm details.
Batch Upload Tips
- All 20 files can be selected at once.
- Processing happens in parallel.
- You can leave the page; processing continues in background.
- Come back to Review when ready.
Troubleshooting
Extraction failed: remove PDF passwords, rescan low-resolution files at 300 DPI, or re-export corrupted PDFs.
Extracted data is wrong: improve image lighting, capture the full invoice, or contact support if a specific file keeps failing.
File exceeds 10MB: compress the PDF before uploading.
Unsupported file type: convert to PDF first.
